Real Estate Coordinator (Chicago/Bannockburn, IL)

Position Summary:

OVERVIEW
This position is responsible for facilities coordination in our Bannockburn, IL location – including, but not limited to: providing facilities/office services support and performing administrative tasks for the Real Estate team. The ideal candidate will efficiently coordinate third party vendors, leasing activities and with the local client colleagues.

ESSENTIAL FUNCTIONS

  • Interpret commercial lease documents (leases, amendments, subleases)
  • Review annual landlord reconciliation statements
  • Data Entry, validation and management of landlord responsibilities
  • Submit and oversee work orders to completion; follow-up with vendor and client
  • Third party invoice validation as it relates to local requested work
  • Order and stock offices supplies
  • Managing conference rooms (schedules, catering, A/V)
  • Serve as liaison with building management
  • Communicate/escalate with appropriate parties (FM, local client, vendors, MES, etc.) as needed
  • Ensure all site management and operations are in compliance with company and client standards
  • Cultivate and maintain a positive working relationship with client representatives (JLL or external) and service providers. 
  • Recommend continuous quality improvement practices
  • Contract administration and associated reporting
  • Manage third party COIs and local landlord related issues
  • Coordinate and provide overall performance reporting
  • Coordinate access into necessary applications as needed.
 
EXPERIENCE
  • Minimum 1 year of experience in a professional, fast-paced environment.
  • Previous experience in management of leasing documentation, strongly preferred.
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Proficiency with Microsoft Office Suite including, Outlook, Word, PowerPoint & Excel
  • Strong organizational and analytical skills; problem solving ability
  • Self-starter and successful team player
  • Proven record of excellent internal and external customer service
  • Communicate professionally in a clear and concise manner (verbal and written) 
  • Demonstrate highest professional standards of behavior and follow the JLL Code of Ethics policy.
  • Flexibility with working hours, as needed
