Senior Occupancy Planner

Position Summary:

OVERVIEW
The individual will be a proactive leader responsible for supporting strategies and contributing to the site success by utilizing specialized knowledge, tools, and resources to effectively develop, assist and implement occupancy planning, space planning and move management on behalf of the client.
­
This person will manage the supply, capacity, and demand of the Client’s portfolio of space in a specific, geographic region. Within the geography, this person will be able to answer: how much space is currently available, what are the workplace conditions, what are bottom-up seat count projections by business unit and be able to reconcile discrepancies with top down projections, provide geographic stacking diagrams by location, building and floor, and develop preliminary program requirements for each department

ESSENTIAL FUNCTIONS
CLIENT RELATIONSHIPS

  • Proactively develop and manage client relationships ensuring that expected service levels are achieved
  • Provide outstanding levels of service to the client by leading and developing team under areas of responsibility
  • Lead business partner on occupancy, space and move projects.
  • Serve as liaison between the client and all other affected resources
  • Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators
  • Deliver an exceptional quality of service to the client, as reflected by client feedback

SERVICE DELIVERY
  • Excellent communicator capable of delivering effective change management prior to, during and after a project process
  • Develop migration plans and sequencing of moves / relocations
  • Attend meetings, renovation projects and project moves
  • Translate client’s business requirements and successfully deliver occupancy planning and move management utilizing firm and industry best practices
  • Implement a continuous improvement program for project delivery
  • Prepare/update monthly and weekly reporting regarding site data to include occupancy, lease terms, project status, etc.
  • Proactively identify opportunities for efficiencies throughout the portfolio and through any recurring processes
  • Support development and implementation of innovations, best practices, and standard operating procedures to elevate the team, account and firm performance
  • Manage vendor performance ensuring services are delivered in accordance with the contract and to agreed standards. Document and escalate instances of poor performance.
  • Support the sourcing efforts through the vendor contract procurement process.

FINANCE MANAGEMENT / COST CONTROL / PROFITABILITY
  • Achieve or exceed financial targets and ensure effective, efficient and economic operation of assigned responsibilities.
  • Ensure that operational expenditure for the site/s is managed within agreed budgets and identify efficiencies where possible.
  • Participate in the annual capital, budgeting and monthly forecasting processes
  • Manage and understand financial year budget spend reports (actual vs. budget, variance etc.).
  • Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures.
  • Ensure compliance within delegated financial and contractual authorities.

LEADERSHIP / STAFF MANAGEMENT
  • Manage Occupancy Planning, Space Teams
  • Actively encourage an environment that supports teamwork, cooperation, performance excellence and personal success
  • Player Coach that will be actively engaged in assigned projects while simultaneously act as an effective manager for employees on the Occupancy Planning / Move Management Team
  • Develop the team through performance assessments and training, managing staff workload through correct resourcing and developing a succession plan for key team members
  • Ensure performance reviews and other HR procedures and duties for the team are conducted according to policy
  • Facilitate communication between other occupancy planners, move coordinators and other JLL team members
  • Act as a role model for JLL by behaving consistently with cultural and ethical requirements and participating in company activities
­
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in Architecture, Interior Design, Construction Management, or related field
  • 7+ years’ experience in managing occupancy, space, move management and change management processes across a broad geography in a remote and virtual environment
  • 5+ years of direct management experience

KNOWLEDGE, SKILLS, AND ABILITIES
  • Strong working knowledge of architectural drawings and furniture systems
  • Demonstrated high level of performance in project budgeting and scheduling
  • Highly organized with strong analytical skills
  • Strong interpersonal skills with an ability to interact at an executive level
  • Flexibility with work hours and travel as needed
  • Proficiency in a range of information technology tools and platforms
