Position Summary:

Assistant Facility Manager
The Assistant Facility Manager will provide comprehensive Facility Management services in support of Remote Corporate locations and Retail Branch locations in a cost effective and professional manner.
The Assistant Facility Manager will interface regularly with the Client, JLL, Schwab CRE Team, as well as vendors and contractors in which signature service must be provided and exemplified at all times.
 
The successful candidate will have strong customer service skills, the ability to process work quickly, accurately and with changing priorities, excellent oral and written communication skills, and solid financial skills.  Must interface with all client levels and be able to process and develop information to meet their needs.
 
Financial Responsibilities
Demonstrate financial ability to develop and manage operational and capital budgets; create and implement savings initiatives across the portfolio. Will be financial responsible for the annual operating / maintenance budgets.
Actively monitor & ensure cost effective, timely response to emergency & urgent requests within approved Service Level Agreements (SLA's).
Actively monitor & ensure cost effective timely completion of routine preventative & corrective maintenance within approval SLA's.
Ensure adherence to all national & regional contracts supporting the Remote Corporate and Retail Branch locations, including contracts SLA's, warranty & expense.
Relationship Management
Focus on: Owning the Relationship(s) with assigned locations / Preventative & Corrective Maintenance / On-site inspections / Project Coordination ensuring a total ownership of the assigned locations.
Build & maintain relationships with Corporate Management internal client groups, Retail Branch Managers, and Branch employees.
Own & Manage Landlord / Property Management relationships ensuring & enforcing compliance with the lease agreements for the Remote Corporate location and when covering/ back up of the Retail Branch locations.
Ensure superior Client service to the Remote Corporate Clients, Branch Managers / Office Managers and their teams.
Conduct routine on-site inspections to ensure clean, professional, well maintained facilities that effectively represent the Company brand.
Effectively utilize the on-site visit to enhance & maintain relationships with the internal Remote Corporate Client, Branch Managers, Office Managers, Landlords, Property Management Companies & supporting vendors.
Moderate travel may be required, to for branch visits, inspections, projects etc.
 
Project Management/Vendor Management
Assist with /oversee all major R&M projects, capital projects and space build outs within the assigned portfolio.
Provide comprehensive project coordination services within the assigned portfolio. Ensure all critical aspects of the project related construction, project coordination and completion are addressed promptly and in a professional, cost effective manner with all of the project scope, budget and schedule objectives satisfied.
Participate with CRE and its design resources regarding space planning needs, project scope definition, overall design and project planning.
Qualifications
Demonstrate subject matter expertise in facility management, project management, client relations, and budget development and management.
Work and manage relationships with other commercial real estate property management companies at leased sites. Ensure adherence and enforce the terms ensure compliance will all lease agreements.
Actively assess, report, process, & track potential risk management issues.
Work with Portfolio Directors, Design & Construction, building owners and brokers on potential lease tours, associated fit-out costs and moving logistics.
Bachelor Degree and 5 years of related experience or equivalent combination of education and experience
General knowledge of critical equipment (generator, server room HVAC, UPS, and plumbing)
Knowledge and experience with project management, leasing/site selection, legal documents, relationship management, and facility management.
Ability to effectively respond to complex inquiries or complaints from clients, co-workers, management, and service providers
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals, ability to write routine reports and correspondence, and ability to speak proficiently and professionally both over the phone and in person.
Must be proficient in Microsoft Office, including Word, Excel, Internet, and Outlook, capability of developing proficient knowledge of other standard software programs including email and of accessing information on Delphi through the Internet. 
Felony background-check and drug test required.
